How to use the Secure File Manager plugin

The Secure File Manager plugin allows you to create a centralized space for storing and sharing files securely. You can segment users by tags, control permissions for uploading or sharing, and manage visibility across departments or user groups. It’s especially useful for teams managing sensitive documents or distributing private materials like HR files, reports, or training content.


Requirements

  • This is a Boost plugin, available on specific plans only.

  • Tags to organize file access:

    • (e.g., Marketing sees only marketing materials).


How to use the Secure File Manager plugin

  1. Log in, go to Builder in the left navigation

  2. Click the + button to open the Plugin Marketplace

    • Search for Secure File Manager, then click Add Plugin

    • Name your plugin (e.g., “Private Files”) and click Add

  3. Click the Content tab:

    • Click Add Segment, select one or more tags, and name the segment.

    • Segments control who can view or share files with others in the same group

  4. To test it out:

    • Click the + icon to create a new folder (e.g., “Sales”) or upload files

    • Depending on settings, users can upload to their Home Folder or Shared Folders

  5. Click the Settings tab:

    • Adjust access and sharing options:

      1. Public files – enable to let all users view and edit uploaded files

      2. File upload permissions – choose between Home and Shared Folders or Shared Folders Only

      3. Sharing method – choose between Enter User Email or Select From List

      4. User segmentation – enable to allow sharing only between users with matching tags (e.g., only Sales can share with Sales)

      5. Group users by tags – organize users into tag-based groups for easier sharing and management

  6. Click the Security tab:

    • Turn on Require Login to restrict feature access to logged-in users

    • (Optional) Add tag-based restrictions and choose whether to match any or all tags

  7. Click the Tagging tab:

    • Enter a tag name to automatically apply to users when they open this feature

    • Click Add Tag

  8. Click the Purchase tab:

    • Check Require Purchase to enable

    • Choose your product type (e.g., Single Purchase or Subscription)

    • Upload an image, fill out purchase text, and add success/failure messages

  9. Click the Analytics tab to see feature performance:

    • View data such as number of views, users, and devices over time


Pro tips

  • File and folder options:

    • Files: Open, Edit, Rename, Share, Delete, Download

    • Folders: Share, Rename, Delete

  • Enable Select From List for internal apps to simplify file sharing among users.

  • Keep Public Files disabled when storing sensitive or internal documents.

  • For team-wide collaboration, organize folders by department (e.g., Sales, HR, Marketing) with restricted sharing.

  • Use Analytics to track file engagement and identify which resources are most used.
